Position Description


Under the direction of the Dean of Student Services, the Senior User and Systems Liaison organizes and coordinates the scheduling, projects, technical operations, and regulatory processes in the Office of Student Support Services. Department functions are conducted in person, over the phone, and in a web-based environment and include all aspects of enrollment services. This position assists with overseeing technical processes as they relate to enrollment, admissions, and records.

Duties and Responsibilities


Essential Duties
  • Promote sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of a community college environment.
  • Research, set-up, configure, and enhance new and existing system functionality in internal and external database systems.
  • Partners with Information Technology to analyze and resolve student information system issues related to various systems operations, maintenance, upgrades, enhancements, and troubleshooting.
  • Collaborate with administration, other departments, IT, and vendors in project overview, rule development, testing, implementation, writing end-user training material, and troubleshooting issues as they arise.
  • Create training documents for internal and external database systems for end-users.
  • Maintain terms and programs in CCCApply; import student applications, resolve import issues such as duplicate records, missing or inaccurate MIS data, international status, etc.
  • Review and identify potential spam or fraudulent applications. Recognize fraud patterns and communicate issues to IT for removal and adjustments in accordance with internal fraud procedures. Track and report for reporting to Chancellor's Office.
  • Resolve student application, enrollment, registration, conflicts, and discrepancies in a proper and timely manner.
  • Serve as the first point of contact for external programs, databases, and reporting systems related to admissions and enrollment.
  • Input enrollment and other student related data into various databases and reporting systems; review and verify accuracy and completeness of input and output data and related transactions; initiate queries and generate computerized reports. Submit enrollment reports to reporting systems and agencies as required.
  • Produce reports from student information system for internal and external constituencies. Prepare, review, and disseminate various reports from internal and external databases for student records, course issues, MIS, District, State, and Federal requirements. Review and resolve data issues in conjunction with IT and appropriate departments.

Other Duties
  • Perform other related duties pertaining to lower or equal classification as assigned within the Admissions and Records department.

Qualifications


Education and Experience:
Any combination of training and experience equivalent to Two (2) years of college coursework and at least two (2) years of increasingly responsible experience in busy customer service orientated environment with emphasis on confidential records, education regulations, database management and computer application troubleshooting.

Preferred
A Bachelor's degree and experience in a Community College environment. Experience with Ellucian Colleague, e-Transcript systems, and transcript evaluations.

Knowledge of:
Organization and direction of Admissions & Records operations and activities including the processing of applications, registration processes, maintenance of student records and files, and related support functions such as:
  • Technical practices, procedures and techniques involved in the processing of enrollment forms and applications and related student registration activities.
  • College and State of California standards and requirements concerning student enrollment, registration, and residency requirements.
  • Applicable laws, codes, regulations, policies and procedures from the federal government (e.g. FERPA) and the State (Title V, Education Code, and California State regulations).
  • Complex database/reporting systems used in a record-keeping function.
  • Data control procedures and data entry operations.
  • Principles and practices of supervision and training.
  • Basic budget preparation and control.
  • Oral and written communication skills.
  • Correct English usage, grammar, spelling, punctuation, and vocabulary.
  • Record-keeping and report preparation techniques.
Ability to:

  • Resolve office issues in consultation with management.
  • Interpret, apply, and explain applicable laws, codes, regulations, policies and procedures.
  • Work with management, faculty, and assigned personnel in development and implementation of department plans, goals, objectives, projects, calendars, policies, and procedures.
  • Communicate effectively both orally and in writing.
  • Exhibit interpersonal skills such as tact, patience, and courtesy with students. Establish and maintain cooperative and effective working relationships with other District employees.
  • Meet schedules and timelines.
  • Work independently with little direction.
  • Plan and organize work.
  • Operate a variety of office equipment, including a copier, fax machine, computer, and various software and databases; arrange for computer system modifications, maintenance, and repairs as needed.
