Additional Information: This position will remain open until filled. Work Hours: Standard College hours are Monday - Friday, 8:30 am - 4:30 pm; Additional hours, including evening and weekend hours, may be needed to meet the needs of the department.
General Summary: Assists the Vice President & Chief Facilities Officer in providing oversight to budgeting services and accounting of contracts and capital projects. Assists all the Facilities Management leadership team members in the administering of software systems & effectively applying those systems.
Requirements:
- Bachelor's degree in business, management, information systems or related field and a minimum of five years experience OR an associates degree in business, management, information systems or related field and a minimum of seven years experience.
- Strong organizational, communication and people skills.
- Ability to analyze and resolves problems and issues.
- Understanding of software systems, along with their administrative processes.
Duties:
1. Support each campus and each college department as may be required/requested to assist them in financial questions related to Facilities issues and capital projects.2. Budget Outlay: Plan the annual budget input; coordinate & track budget aspects across all campuses & centers as necessary to support one-college initiatives.3. Capital Outlay: Monitor & track Capital budgets, in regards to expenditures, needs & efficient usages.4. Work directly with the CFO/VP of Finance and Finance and Procurement staff to understand all aspects of the College financial, accounting, budgeting, and any related systems and software.5. Coordinate with the Energy Manager to administer the EnergyCAP software system and other energy management systems, as well as required reporting. 6. Provide monthly updated budget reports for both budget and capital outlays & provide detailed data to departments.7. Oversee and coordinate all aspects of college-wide fleet management, including vehicle registration, maintenance, scheduling etc; maintain all records electronically and in vehicles as required by law. 8. Assist & act as backup to the Energy Manager for utilities tracking & critical processes. Manage the input of utility data into EnergyCAP during the absence of the Energy Manager. Ensure the Energy Manager has all documents for review.9. Coordinate with the FM team in support of college-wide sustainability efforts.10. Utilize the Ad Astra scheduling system as required for college wide scheduling activities as may be related to the activities of the Facilities Management Department. Provide updates to the system in categories as identified. Track & input changes to spaces as necessary.11. Serve as the content manager for the FMD webpages.12. Assist the Vice President & Chief Facilities Officer in carrying out all one-college initiatives.13. Assist the Vice President & Chief Facilities Officer with special projects as required.14. Perform other duties as required or as assigned.
