Job Summary/Basic Function:
The Administrative Office Specialist (AOS) for the Momentum Scholars Program has various clerical responsibilities, including responding to calls and emails, providing information to students, community members and stakeholders. managing records, submitting requests, scheduling meetings and outreach events, and liaising with BC departments.
- Provides administrative support for the Program Manager and Momentum Scholars Program;
- Responds to inquiry calls and emails, providing information and assistance to students, staff, community members, and stakeholders;
- Assists with data entry, as well as maintaining and organizing records documentation and files;
- Manages a calendar of events and activities, including scheduling meetings and outreach;
- Assists with preparation and submission of requests, supply procurement, purchase orders, travel authorizations, and other documentation;
- Operates office equipment such as phones, computers, printers, copiers, and fax machines;
- Serves as liaison with IT, facilities, marketing, and other departments.
- Other duties as assigned.
LOCATION: Position is 100% on-site presence
Minimum Qualifications:
- High school diploma or equivalent (GED) required. Associate's degree preferred.
- Minimum one year of administrative office experience required. Internal candidates
- Bilingual in Spanish is preferred
- Knowledge of general office procedures, phone etiquette and customer service skills;
- Knowledge of campus procedures, policies, and forms;
- Proficiency in Microsoft Office software, including Outlook, Excel, Word, Teams, etc.;
- Possess organizational and time-management skills, with the ability to successfully pivot among priorities and tasks;
- Ability to exercise judgment independently and maintain confidentiality, accuracy, and professionalism when managing sensitive data and communications.
