Salary Range: $3,565 - $4,746

Starting salary for this position is: $3,565 (Monthly)

Employees hired at the entry step of this range receive salary step advancement after six months and every 12 months thereafter. An employee hired at anything higher than the entry step of the range will have salary step advancement after 12 months and every 12 months thereafter until they reach the top of the salary range. Each salary step advancement will be approximately a 5% increase.

About the Allied Health Program Assistant

JOB SUMMARY- In Person Position

Under general supervision reporting to the Office Support Supervisor for Allied Health and Environmental Sciences providing support for the programs' faculty and students and will perform a variety of complex clerical projects and assignments such as tracking programs required clinical student documentation and providing student documentation reports to the Dean and Program Directors.

This position will also assist the Dean, Supervisor, Program Directors, Department Chair and faculty with travel/purchasing processes, inventory control, and will serve as primary contact with the public, program faculty and students regarding program policies and activities. Duties will also include maintaining clinical student files and checklists, faculty evaluations, creating forms, brochures and program information; coordinating coverage/security for computer labs, mailroom-workroom duties and support; and providing public, faculty and student assistance throughout the building.

DUTIES AND RESPONSIBILITIES

  • Process divisional travel/purchasing; receive, track and maintain files/spreadsheets on programs required clinical student documentation and provide student documentation reports to the Dean, Program Directors, clinical coordinators and off-campus clinical sites. *
  • Process, update or ensure databases are maintained to ensure consistency and observation of various rules/regulations, i.e., student instructor/class evaluations, Travel, Purchasing, or other District entities as needed to ensure proper processing of documentation/paperwork. *
  • Provide clerical support to faculty, students, and staff by creating, updating, maintaining, and disseminating program and class forms or information. Order departmental and divisional supplies. *
  • Respond to written, in person, or telephone requests for program information, departmental policy, procedures, and services. *
  • Provide fax and copy machine assistance; assist with room set-ups; schedule appointments for student-performed scanning within allied health (i.e., echo, vascular, sonography); receive and distribute building mail and packages. *
  • Assist in maintaining the security of building computer lab equipment by locking and replenishing printer supplies. Maintain tracking and rotational issuance of locks and student lockers. *
  • Prepare and distribute confidential faculty evaluation documents; provide back-up to supervisor for dissemination and collection of hiring packets and supporting documents; package confidential documents for disposal; update division's staff information in district's online directory. Research building missing inventory list. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the Spokane Colleges' strategic plan, and perform other duties as assigned. *

MINIMUM QUALIFICATIONS

  • Experience using computers, using Microsoft 365, Outlook, Excel, Access, Word, Microsoft Teams, & Adobe Acrobat.
  • Experience setting up and maintaining a manual and electronic filing system.
  • Experience and/or ability to use online software for tracker of clinical documentations.
  • Excellent verbal, written, and interpersonal communication skills; experience responding to inquiries on office and program policies and procedures.
  • Ability to use and direct others in the proper use of multi-line telephone systems.
  • Ability to work on and pivot between multiple tasks and work in a fast-paced environment.
  • Ability to work independently without immediate support or within a team to plan and accomplish goals.
  • Ability to complete projects with attention to detail and work independently in the absence of a supervisor
  • Ability to maintain a high level of confidentiality.


DESIRED QUALIFICATIONS

  • Associate degree or higher from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Two or more years of increasingly responsible clerical experience.
  • Previous experience in providing support to multiple departments or staff members.
  • Knowledge of Spokane Colleges and SCC class offerings and policies and procedures.
  • Experience in a higher education environment.


PHYSICAL REQUIREMENTS

  • Work is performed in an office environment with frequent interruptions and background noise.
  • Work is sedentary.
  • Work directly with students/clients.
  • Frequent repetitive hand/wrist motions and finger manipulation.
  • Frequent oral and auditory communication with others.


CONDITIONS OF EMPLOYMENT

  • Full-time schedule (12 months, 40 hours a week).
  • This position is overtime eligible.
  • 6-month probationary period.
  • Criminal background check is required.
  • This position is covered under a collective bargaining agreement. Membership is optional.


Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. Medical, dental, life and long term disability insurance benefits are provided as currently administered under Public Employees Benefits Board; WA State Retirement Plan; vacation and sick leave begin to accrue at the rate of 11.33 hours vacation and 8 hours sick leave per month, upon employment. (For positions that are less than full time, leave accruals will be prorated to the percentage of the position.) This position is designated a bargaining unit position and union membership is not a condition of employment. Leave accruals and usage are governed by the WFSE collective bargaining agreement.
