Registration Services RepresentativeJob Summary:
The Registration Services Representative supports the college's admissions and registration functions by processing student applications, maintaining accurate records, and providing exceptional customer service to students, staff, and the public. This position ensures the timely and efficient handling of admissions, enrollment, and registration processes while offering proactive assistance to students throughout their enrollment journey. The role requires strong attention to detail, effective communication skills, and the ability to manage multiple priorities in a fast-paced, student-centered environment.Job Description:
Department Operations and Processes: 60%
- Process admission applications, create student files, review credentials, and issue acceptance letters.
- Manage enrollment paperwork for limited-enrollment healthcare programs.
- Maintain and update records for new, returning, and continuing students.
- Process registrations for conferences, contractual programs, Dual Credit, and Adult Education.
- Handle schedule changes, transcript requests, and test score processing.
- Generate class/grade lists and process withdrawals and final grades per state guidelines.
- Support part-time and temporary staff during peak registration periods.
- Assist Recruitment with enrollment management tasks as needed.
- Support graduation ceremonies and related events.
Student and Customer Services: 30%
- Respond to inquiries about admission and enrollment policies, procedures, and services.
- Guide students through registration and enrollment steps.
- Manage a student caseload in the CRM, ensuring required documentation is completed.
- Prepare and send timely communications using various software tools.
- Manage high-volume call center inquiries with accurate and courteous service.
Other - 10%
- Participate in cross-departmental initiatives and campus events.
- Identify and recommend process enhancements to improve efficiency and service delivery.
- Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit, division and department of this position.
Physical: Primary functions require ability to remain in a stationary position (sit and/or stand) greater than 50% of the time; to occasionally stoop, bend, kneel, reach; to lift, carry, push, and/or pull up to 10 pounds frequently; to regularly operate office equipment requiring repetitive hand movement and fine coordination including the use of a computer keyboard; the ability communicate to exchange information; and the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions.
Environmental: Work will often occur in an office setting; where temperatures may fluctuate between high and low temperatures occasionally; may experience varying noise levels occasionally.
Vision: Ability to observe in a near visual range with or without correction or reasonable accommodation.

Required Qualifications
- High School diploma or equivalent.
- Minimum three (3) years' office support or related experience.
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to follow instructions, manage multiple tasks, and meet deadlines independently, seeking guidance only for complex or unclear situations.
- Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.
Desired Qualifications
- Prior clerical or customer service experience, preferably in a higher education setting.
- Experience working with computer information systems used for student and employee data and reporting such as Workday.
Work Schedule:
9:30 AM- 6:00 PM Monday - Thursday
8:00 AM- 4:30 PM Friday

$17.73/hour
