Job Summary/Basic Function:

The Scholarship & Outreach Coordinator manages and coordinates scholarship programs and outreach efforts for Brazosport College and the Brazosport College Foundation. The position ensures effective stewardship of donor funded scholarships, promotes awareness of scholarship opportunities, and supports student access and success. This position serves as a member of the Brazosport College Foundation staff and supports fundraising activities and initiatives led by the Foundation to advance institutional priorities and enhance student success.
  • Coordinates all aspects of the scholarship program, including application cycles, eligibility review, and award processes
  • Manages and maintains scholarship software and databases to ensure accuracy, integrity, and reporting capability
  • Matches student applicants to available scholarship opportunities based on eligibility criteria
  • Coordinates scholarship budget tracking, reconciliation, and reporting
  • Submits scholarship award recommendations to Financial Aid for processing to student accounts
  • Maintains scholarship records, files, and documentation to ensure compliance with donor intent and institutional policies
  • Submits scholarship recommendations to scholarship committee, upon approval to Financial Aid for processing
  • Collaborates with the Executive Director and Director of Board & Donor Relations to establish and maintain scholarship agreements with donors
  • Ensures compliance with donor intent and scholarship criteria
  • Coordinates scholarship stewardship activities, including:
    • Student thank-you letters to donors
    • Scholarship recipient communications
    • Donor impact reporting
  • Serves as liaison between donors and the College regarding scholarship-related matters
  • Chairs and coordinates the Scholarship Awards Committee
  • Facilitates review processes, selection timelines, and committee communications
  • Ensures fair, consistent, and transparent selection practices
  • Develops and implements outreach strategies to increase awareness of scholarship opportunities
  • Conducts outreach to:
    • Area ISDs and dual credit partners
    • Prospective and current students
    • Community organizations and stakeholders
  • Represents Brazosport College and the Foundation at recruitment and community events
  • Collaborates with marketing and recruitment teams to promote scholarship opportunities
  • Partners with Student Success, Enrollment Services, and Foundation teams to align scholarship efforts with student success goals
  • Serves as liaison with IT and software vendors for scholarship systems support
  • Develops reports, dashboards, and analytics to monitor scholarship utilization, trends, and impact
  • Serves as an active member of the Brazosport College Foundation staff, contributing to fundraising initiatives by supporting donor engagement, scholarship development, stewardship activities, fundraising events, and advancement strategies aligned with the Foundation's strategic priorities.
  • Participates in professional development to stay current on scholarship best practices and technology
  • Maintains confidentiality and adhere to FERP A and institutional policies
  • Perform other duties as assigned


Qualifications

Minimum Qualifications:
  • Bachelor's degree
  • Minimum of two (2) years of experience in higher education, advancement, student services, or related field
  • Experience with scholarship management systems and/or donor relations preferred
  • Required Knowledge:
    • Scholarship administration and donor-funded program management
    • Database and software systems (e.g., Award Spring or similar platforms)
    • Microsoft Office Suite and data management tools
    • Customer service principles in a higher education setting
  • Strong organizational and project management skills
  • Ability to manage multiple deadlines and processes simultaneously
  • Excellent written and verbal communication skills
  • Data analysis and reporting skills
  • Relationship-building and stakeholder engagement
  • Work collaboratively across departments and with external partners
  • Exercise independent judgment and maintain confidentiality
  • Coordinate complex processes with attention to detail
  • Engage effectively with students, donors, and community partners
