Position Description
The Senior Student Support Specialist is a student-centered professional who plays a key role in supporting the daily operations of the Admissions & Records department. This position assists with complex enrollment and application processes; helps resolve registration, residency, and transcript-related questions; and provides clear, accessible guidance to students, families, faculty, and staff. The Senior Admissions and Records Specialist also contributes to the development of departmental procedures, supports K-12 enrollment workflows, and assists in creating student communications and training materials that promote consistent, accurate, and equitable service.
Working collaboratively with team members, counselors, faculty, and administrators, the Senior Admissions and Records Specialist helps organize and sequence department activities to ensure smooth, efficient operations, especially during registration periods. The position assists with coordinating communication efforts, supports staff with procedural questions, and assists college leadership with complex student situations while maintaining a welcoming, solution-oriented approach. Above all, this role is focused on strengthening the student experience by ensuring timely support, clear information, and seamless navigation through the enrollment process.

Duties and Responsibilities
Essential Duties
- Promote sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of a community college environment.
- Assists with importing student applications and resolving import issues.
- Assists with reviewing and identifying potential spam or fraudulent applications.
- Assists with the planning, development, and implementation of processes to evaluate transcripts; produce training documents for departmental application of processes.
- Resolves student application, enrollment, registration, conflicts, and discrepancies in a proper and timely manner.
- Organizes and assists in delegating work projects and activities that relate to admissions and records functions, such as online applications and other enrollment forms, maintenance of student records and files, review and verification of enrollment activities, and compliance with established regulations, policies, and procedures.
- Facilitates the maintenance of student records and files, including application and enrollment information. Keeps up to date with legislation and regulations regarding student records and files.
- Inputs enrollment and other student-related data into various databases and reporting systems; review and verify accuracy and completeness of input and output data and related transactions.
- Serves as a technical resource to students, staff, administration, faculty, and the public concerning student enrollment, admissions, and record-keeping functions; responds to inquiries and provides technical information concerning related forms, applications, guidelines, requirements, policies, and procedures.
- In consultation with College administration, participates in the development and implementation of department plans, goals, objectives, and projects for admissions and records.
- Assists in the preparation and distribution of enrollment correspondence, calendars, and informational materials.
- Monitors and assesses department policies and procedures for operational efficiency and effectiveness, and communicates suggestions for improvement to the supervising administrator.
- Assists the supervising administrator with the review, analysis, and administration of department budgets. Attends various meetings as assigned; develops, implements, and conducts staff training sessions as directed; attends and participates in various committees as required.
- Supports the coordination of the student-focused processes relating to requests for evaluation, preliminary graduation, petition, and final graduation evaluation, and assists the supervising administrator with the oversight of student-focused processes relating to requests for evaluation.
- Reviews student communication regarding probation/dismissal, administrative drops, student emails, non-payment drops, prerequisite failures, etc.
- Assists in training department personnel and student workers; provides feedback to management.
- Assists students and college administration with course moves, waitlist management, and course cancellations.
- Assists in organizing and establishing processes for matriculating K-12 CCAP and Non-CCAP students.
- Assists counselors with complex student issues.
- Assists students and staff with complex residency issues.
Other Duties
- Perform other related duties pertaining to lower or equal classification as assigned within the Admissions and Records department.
- Serves as Admissions & Records representative on various committees.
- Serve as backup School Certifying Official.
- Perform related duties as assigned.
Qualifications
Education and Experience
Any combination of training and experience equivalent to two (2) years of college coursework and at least two (2) years of increasingly responsible experience in busy customer service orientated environment with emphasis on confidential records, education regulations, database management and computer application troubleshooting.
Preferred
A Bachelor's degree and experience in a Community College environment. Experience with Ellucian Colleague, e-Transcript systems, and transcript evaluations.
Knowledge of
- Technical practices, procedures and techniques involved in the processing of enrollment forms and applications and related student registration activities.
- College and State of California standards and requirements concerning student enrollment, registration, and residency requirements.
- Applicable laws, codes, regulations, policies and procedures from the federal government (e.g. FERPA) and the State (Title V, Education Code, and California State regulations).
- Principles and practices of coordination and training.
- Oral and written communication skills.
- Record-keeping and report preparation techniques.
Ability to
- Resolve office issues in consultation with management.
- Interpret, apply, and explain applicable laws, codes, regulations, policies and procedures.
- Work with management, faculty, and assigned personnel in development and implementation of department plans, goals, objectives, projects, calendars, policies, and procedures.
- Communicate effectively both orally and in writing.
- Exhibit interpersonal skills such as tact, patience, and courtesy with students. Establish and maintain cooperative and effective working relationships with other District employees.
- Meet schedules and timelines.
- Work independently with little direction.
- Plan and organize work.

PHYSICAL CHARACTERISTICS:
- Vision sufficient to read computer screens and handwritten and printed documents.
- Bending and reaching to obtain or replace files and records.
- Must be able to sit or stand for extended periods of time.
- Speech and hearing to communicate in person or by telephone.
- Manual dexterity sufficient to use a variety of office equipment, computer keyboards, and manipulate paper.
- Able to lift supplies and materials up to 15 pounds.
