Job Summary:

College of Lake County has an exciting opportunity in our Facilities Department at the Grayslake Campus! Under the supervision of the Operations, Scheduling and Events Supervisor, the Office Associate provides day-to-day administrative support to the Facilities Department. This position performs clerical and receptionist duties including, but not limited to, answering phones, dispatching urgent requests, copying, filing, and assisting students, staff, and vendors (in person and over the phone) by providing basic information relating to the operational function of the Facilities department, its procedures, policies, and day-to-day activities. Additionally, this position will schedule work orders and assist with scheduling small meeting requests.

Job Description:

Department Operations/Processes: 50% 

  • Monitor the utilities budget activity by recording usage and fees, monitoring account expenditures, preparing 3rd party billing requests, and tracking invoices to be paid 
  • Process payment requests, purchase orders, requisitions, and invoices 
  • Prepares and distributes correspondence, reports, agendas, and meeting minutes.
  • Analyzes and prepares special reports and materials as assigned. 
  • Maintain Facilities training spreadsheet to include training sessions available and who is required to participate. This will include following up with supervisors, trainers, and team members to coordinate training sessions, materials, and schedules and ensure the correct certificates are given. 
  • Assists in maintaining office files, records, and documentation 
  • Monitor department office supplies, ordering items as requested by department personnel or to replenish supply on hand. 
  • Serves as back up to Central Scheduling for internal meeting reservations and fleet reservations and documentation 

Student/Customer Service: 45% 

  • Assist the department by providing a variety of support services supporting Facilities supervisors, department and College staff, faculty, vendors, and community members. 
  • Receive visitors with department sign in and distribute keys based on need, answer phones, and route calls as appropriate. 
  • Dispatch high priority requests via radio. 
  • Review and process service requests in the Facilities work order management system, ensuring appropriate information is received and determining what department the work will be assigned to providing communication to customers regarding open or pending requests 

 

 

Other: 5% 

  • Follows all institution and regulatory policies, procedures and standards.
  • Utilize self-appraisal to determine progress in meeting performance management system objectives and career goals. 
  • Performs other related duties and office functions as assigned. 

Required Qualifications 

  • High School diploma or equivalent.
  • Minimum of two (2) years of office support or related experience.
  • Working proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Ability to follow instructions, manage multiple tasks, and meet deadlines independently for routine work, with support for new or complex tasks. 
  • Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.

Desired Qualifications

  • Prior experience performing administrative or customer service duties, including scheduling, data entry, and office support tasks.
  • Experience working with computer information systems used for student and employee data and reporting such as Workday.
